At Wintsum Tour and Travels, we follow a transparent and fair payment and refund system. This policy explains how advance payments, cancellations, refunds, and balance payments are handled. By confirming a booking with us, the customer agrees to the terms outlined below.

1. Advance Payment & Booking Confirmation

To confirm any tour or travel booking with Wintsum Tour and Travels, customers are required to pay an advance amount at the time of booking.

The advance payment is used to secure hotels, transportation, permits, and other essential travel services. Booking confirmation is issued only after receipt of the advance payment.

The remaining balance amount is payable upon arrival or before the start of the tour, as mutually agreed at the time of booking.

2. Refundability of Advance Payment

  • Advance payments are partially or fully non-refundable, depending on the cancellation timeline and the services already booked.
  • If the advance amount has been utilized for third-party bookings (such as hotels, flights, transport, or permits), it may not be refundable under any circumstances.
  • Any eligible refund will be calculated after deducting non-refundable costs and processing fees.

3. Cancellation & Refund Eligibility

Refund eligibility depends on the number of days remaining before the scheduled departure date:

  • Cancellation made 30 days or more before departure:
  • 100% refund of the booking amount excluding processing fees and non-refundable charges.
  • Cancellation made 15 to 29 days before departure:
  • 50% refund of the total booking amount.
  • Cancellation made 7 to 14 days before departure:
  • 25% refund of the total booking amount.
  • Cancellation made less than 7 days before departure:
  • No refund shall be applicable.
Certain services such as flights, hotels, permits, or other third-party bookings may have strictly non-refundable policies, which will be communicated at the time of booking.

4. Cancellation Request Process

All cancellation requests must be submitted in writing via email.

The request must include:

  • Booking or confirmation number
  • Customer name and contact details
  • Travel dates
  • Reason for cancellation (if applicable)

. Requests without complete details may result in delays.

5. Refund Processing

  • Approved refunds will be processed within 7–14 business days from the date of cancellation approval.
  • Refunds will be credited only to the original payment method used during booking.
  • Cash refunds are not provided under any circumstances.
  • Actual credit time may vary depending on the bank or payment gateway.

6. Balance Payment on Arrival

  • The balance amount must be paid before or during the tour, as agreed.
  • Failure to pay the balance amount may result in cancellation of services without any refund of the advance payment.
  • No services will be provided unless payment obligations are fulfilled.

7. No-Show Policy

If a customer fails to arrive at the designated meeting point or does not participate in the tour without prior written notice:

  • The booking will be treated as a no-show.
  • No refund will be issued.
  • The entire advance and booking amount will be forfeited.

8. Booking Modifications & Rescheduling

  • Requests for date changes or service modifications are subject to availability.
  • Modification or rescheduling fees may apply.
  • Any fare difference must be paid by the customer.
  • All modification requests must be submitted in writing and approved by Wintsum Tour and Travels.

9. Force Majeure / Unforeseen Circumstances

In case of natural disasters, weather conditions, political unrest, government restrictions, pandemics, or other force majeure events beyond our control, refunds (if any) will be reviewed and decided at management discretion.

Customers are advised to contact us directly to discuss available options in such cases.

10. Customer Responsibility

Customers are responsible for providing accurate personal, travel, and payment information. Wintsum Tour and Travels will not be responsible for delays or losses caused due to incorrect details shared by the customer.

11. Policy Updates

Wintsum Tour and Travels reserves the right to update or modify this policy at any time without prior notice. Customers are encouraged to review this policy at the time of booking.
